We Analyzed 74 AI AP Automation Tools in 2026 — Here's the Data
Pricing, integrations, free tiers, compliance and feature overlap across 74 AI accounts payable tools — sourced from our own product database, not vendor marketing.
We maintain a working database of every AI tool we can find in accounts payable automation. For this post we pulled the 79 entries currently in that category, kept the 74 with complete feature, pricing, integration, and compliance data, and ran the aggregates ourselves.
The headline numbers below are the actual counts from our database as of June 2026. No vendor surveys, no analyst panels — just what the products themselves publish, normalised into a single shape.
TL;DR — what 74 AI AP automation tools look like in 2026
- 50% offer a free trial or free tier (37 of 74).
- 99% are cloud-only (73 of 74); one is hybrid, zero are on-premise.
- The median entry-tier price is $32/month, and 75% of priced plans start at $99 or less.
- Xero and QuickBooks integrations dominate: 28% and 24% of tools list them. NetSuite and SAP each appear in roughly 1 in 7 stacks.
- GDPR compliance is table-stakes (74% claim it). SOC 2 (15%) and ISO 27001 (14%) are still differentiators, not the norm.
- Only 23% ship a mobile app — AP automation is still a desktop workflow.
The dataset
| Metric | Value |
|---|---|
| Tools indexed in /c/ap-automation | 79 |
| Tools with full structured analysis | 74 |
| Tools with parseable starting price | 20 |
| Categories used | AP automation only |
| Data refreshed | June 2026 |
Five tools were excluded for incomplete analysis records. The remaining 74 are the ones whose features, integrations, compliance posture, pricing tiers, deployment model, and audience descriptions were all populated. Throughout this post, percentages use 74 as the denominator unless the field was sparse (pricing), in which case we say so explicitly.
Pricing: cheap to enter, opaque to grow
Of 74 tools, only 20 publish a starting price you can read off the website. The rest land you on “Contact for pricing.” That alone is a finding: 73% of AI AP automation vendors gate their cheapest plan behind a sales call.
For the 20 that do publish numbers, the distribution is tighter than the marketing suggests:
| Statistic | Starting price (USD/mo) |
|---|---|
| Minimum | $6 |
| 25th percentile | $29 |
| Median | $32 |
| 75th percentile | $99 |
| Maximum | $199 |
Cheapest published starting prices
| Tool | Starting price |
|---|---|
| TurboDoc | $6/mo |
| AutoEntry | $12/mo |
| Lido | $24/mo |
| BILL | $29/mo |
| Datamolino | $29/mo |
| TriFact365 | €29/mo |
| Synder | $29/mo |
| JustPaid | $29/mo |
| FormX.ai | $29/mo |
| Numeric | $29/mo |
$29/month is a price point so common it looks coordinated. It isn’t — it’s the SaaS-default “entry tier” anchor. Anyone pricing above $99 for the first tier (Docyt, KlearStack, SMACC, Elvy) is positioning enterprise from day one.
Free trial / free plan availability
| Bucket | Tools | Share |
|---|---|---|
| Has free trial or free plan | 37 | 50% |
| Paid only (or unknown) | 37 | 50% |
A clean 50/50 split. For comparison shoppers, this means half the market is genuinely sandbox-able before commitment — a higher proportion than in enterprise AR automation or audit & compliance, where free trials are rare.
Integrations: the Xero–QuickBooks duopoly
This is the most lopsided finding in the dataset. We counted every integration each tool explicitly lists, normalised the names (lowercased, deduplicated SAP variants), and tallied the top 15.
| Integration | Tools listing it | % of 74 |
|---|---|---|
| Xero | 21 | 28% |
| QuickBooks | 18 | 24% |
| SAP | 12 | 16% |
| ERP systems (generic) | 11 | 15% |
| NetSuite | 10 | 14% |
| Sage Intacct | 6 | 8% |
| Microsoft Dynamics | 6 | 8% |
| SAP Business One | 5 | 7% |
| Sage | 5 | 7% |
| Salesforce | 5 | 7% |
| Oracle NetSuite | 4 | 5% |
| QuickBooks Online | 4 | 5% |
| Oracle | 4 | 5% |
| Exact Online | 3 | 4% |
| Workday | 3 | 4% |
The takeaway: if your ledger is Xero or QuickBooks, you have ~20 native options. If it’s NetSuite, ~14 (combining “NetSuite” and “Oracle NetSuite”). If it’s Microsoft Dynamics 365 or Workday, fewer than 10. If you run Exact Online or Acumatica, fewer than 5 — and the bank-statement and document-management space gets you closer than pure AP automation does.
Feature overlap: what every AP tool claims to do
When we tally feature titles across the 74 analyses, the most-claimed capabilities are:
| Feature claimed | Tools claiming it |
|---|---|
| Expense management | 6 |
| Document management | 5 |
| Accounts payable automation | 4 |
| Fraud detection | 4 |
| AP automation | 3 |
| Intelligent document processing | 3 |
| Automated bookkeeping | 3 |
| Seamless integration | 3 |
| Customizable solutions | 3 |
| Workflow automation | 2 |
| PO matching | 2 |
| Multi-currency support | 2 |
| Vendor management | 2 |
| AI document processing | 2 |
| Real-time analytics | 2 |
| Automated data capture / extraction | 2 each |
The flattest tail in any of our category analyses. There is no single feature title that appears on more than 8% of tools — which means vendors describe the same underlying work using almost 74 different vocabularies. PO matching, vendor management, and multi-currency are noticeably underclaimed for an “AP automation” category. If you need those specifically, the explicit claim is a meaningful filter, not a default.
This is also a signal for buyers: don’t filter on feature checkboxes. Filter on integrations, pricing transparency, and compliance — which actually vary.
Compliance posture
| Standard | Tools claiming it | % of 74 |
|---|---|---|
| GDPR | 55 | 74% |
| SOC (1/2) | 11 | 15% |
| ISO 27001 | 10 | 14% |
| HIPAA | 2 | 3% |
| PCI-DSS | 1 | 1% |
Three things stand out:
- GDPR is the floor, not a moat. If a vendor doesn’t claim it, treat that as a red flag.
- SOC 2 is the real enterprise gate — only 15% claim it. If you’re procurement-driven, this is your shortest shortlist.
- HIPAA-relevant payables are unserved. Medical practices doing AP through these tools are mostly on vendors with no explicit HIPAA posture.
Deployment & form factor
| Attribute | Count | % |
|---|---|---|
| Cloud-based | 73 | 99% |
| Hybrid | 1 | 1% |
| On-premise | 0 | 0% |
| Ships a mobile app | 17 | 23% |
On-premise AP automation is, in 2026, effectively dead. The mobile-app gap is more interesting — three quarters of these tools assume you’ll approve invoices from a desktop, even though expense management (an adjacent category) is mobile-first.
Who’s funded?
Only 4 of 74 tools (5%) explicitly disclose having raised capital in their analysis. That dramatically understates reality — most analyses don’t capture funding status — but it tells you something else: vendors aren’t leading with their funding story. AP automation buyers don’t price in vendor risk the way SaaS buyers in other categories do; the workflow is reversible.
How to read this if you’re buying
If you’ve made it this far, you’re probably building a shortlist. From the numbers:
- Start with integration. Your ERP/ledger eliminates 60–80% of the market in one filter. Begin at our AP automation directory filtered by your stack.
- Demand a published price. The 27% who publish one are signalling a self-serve motion. The 73% who don’t are signalling an enterprise sales motion. Match that to how you buy.
- Use SOC 2 as your hard cut. If procurement requires it, the 11 vendors who claim it are your universe.
- Test the free tier where it exists. Half of these tools let you try before talking to sales. Use that.
- Don’t shortlist by feature checklist. Feature claims are noisy. Pricing transparency, integration depth, and compliance posture aren’t.
Methodology
This analysis was generated from our internal product database as of 10 June 2026. Each tool in /c/ap-automation is captured with a structured schema covering pricing tiers, integrations (free-text, normalised at query time), compliance certifications (booleans per standard), deployment model, mobile availability, and feature titles. The structured analysis is generated by an LLM from each vendor’s own website and product pages and is periodically refreshed.
For this post:
- Denominator (74) is tools with a complete structured analysis record.
- Pricing distribution (n=20) uses only tools that publish a parseable monthly starting price; “Contact for pricing” tiers are excluded.
- Integration counts use case-insensitive, whitespace-trimmed matching on the raw integration string, without merging near-synonyms (so “NetSuite” and “Oracle NetSuite” are reported separately).
- Compliance counts use the boolean flags directly; we did not attempt to verify each claim against the vendor’s trust centre.
This is a snapshot, not a leaderboard. The directory itself is the live version — see the AP automation category page for the current tool list, or our 2026 AI accounting landscape post for how this category fits in the broader market.
If you spot a tool we’ve miscategorised or a number that looks off, the directory is the canonical source — corrections there flow into the next refresh.
